How do I create a new shipment record?
After logging in, you will be taken to the Search screen. To create a new shipment, merely click the Create TOMS™ Record button. From there, you will be taken to the Air Shipment Input page. Air is the default setting, but you may easily change the mode of transport by clicking on either Sea or Road at the top of the page.

What is the Customer function?
This function allows TOMS™ users to provide their clients with limited access to their TOMS™ system through special Customer settings. These settings permit clients to access data relating exclusively to their account, read their shipment information, run shipment reports, and download shipment data.

Who is an Export Partner?
An Export Partner is an overseas agent who also uses TOMS™. By selecting this function, the shipping information you created will be stored in your TOMS™ system and will be copied to your Export Partners system at the same time. This means that when either you or your Export Partner, for example, create a POD or update comments the other will receive the newly created forms or updates.

What is the Agent function?
This feature works in a similar way to the Customers function. It gives limited access to your oversea agents.

On the Shipment Entry page, there are two columns: Comments and Notes to be mailed. Whats the difference between these two?
These columns for extra remarks you may want to add. The information written in the Comments column will be stored in the TOMS™ database whereas information written in the Notes to be mailed column will not be stored in the TOMS™ database. Rather, it will be sent along with the shipments pre-alert e-mail. You will not be able to access it through TOMS™ later.

What is the difference between Clone New, Clone HAWB and Cloning functions?
These functions have a common purpose - to save you time by avoiding repeatedly entering the same data. The cloning functions allow you to copy all the shipping information from one file and put it into a new one. All thats left for you to do is to complete the new page by adding a few details specific to the new shipment. What is Quick Search?
It is a quick way to search for a shipment. By entering any one the main tracking numbers (MAWB, MB/L, HAWB or HB/L), you can locate a shipment easily.

Who will use the Quick Search function?
Quick Search is designed for customers and agents who do not have the Login ID and Password necessary to use the Search function.

What is a Job Number?
Job Number refers to the identification number frequently generated by a freight forwarder or its export partner upon receiving a new delivery request from one of their customers.

What is an Order Number?
Order Number is often generated and used by Shipper, Consignee or Customer when placing new shipment order to Freight Forwarder.

What is Search function?
In addition to MAWB, MB/L, HAWB, or HB/L, you can search for shipments using one or more of the following criterion:

Date range

Shipper

Consignee

Agent

Shipment Class (air, road, or sea)

Origin (From)

Destination (To)

Job Number

Customer

Delivered/Undelivered

Partial MAWB or HAWB

Who will use the Search function?
Those who have a Login ID and Password, specifically, your staff and Export Partners, will able to take advantage of the Search function.

What is the purpose of the check boxes listed under Show?
This list allows you to choose what information you include in your reports. The information related to any selected box will appear in the generated report.

What is a Summary Report?
A Summary Report will show you the total number of and weight of shipments in the list generated according to your selected criteria. You may to choose whether to generate a Summary Report as part of you Search or as an independent report.

How do I enter the information to create a Proof of Delivery (POD) in TOMS™?
There are three ways to enter the data to create a POD:

Through the individual Shipment Status screen;

From the Search screen, select Display: Serial POD options. Enter the data though the generated list of shipments; or

By sending a text message or SMS from your GSM mobile phone.

What is the Download Data function?
The Download Data function allows you to download shipment information from TOMS™ to your own computer. By clicking on the Download Data button, you will be taken to a Download Data screen where you will create your own customized reports to store on your computer. This is ideal for preparing information for reports or presentations and for obtaining data for another computer system.

There are 15 columns on the Download Data screen. What are they all for?
Each of these columns has a pull-down menu so that you can customize your report format to include the information that your business requires. Each menu contains more than 30 items to choose from, and you may include up to 15 columns in your report. Once you complete the report format, you may name it and save it for future use by clicking on Store.

Whats the purpose of the Preset Format?
The Preset Format allows you to use your stored report formats. After you have customized, named, and stored your format, you will be able to retrieve it from the pull-down Preset Format menu whenever you need. Once you create a format, you can use it over and over again!

What kind of file formats does TOMS™ offers?
You may download files in CSV, TXT and HTML formats. The CSV file format is designed for Microsoft Excel or other spreadsheet programs; the TXT file format is for Microsoft Word or other word processing programs; and the HTML file format is for Internet browsers like Microsoft Internet Explorer or Mozilla.
